What an electronic POD should prove
- The correct shipment reached the intended location
- The delivery date and time
- The receiving party or authorized acceptance
- Any shortage, damage, refusal or exception
- The document is connected to the correct load
Capture at the delivery location
The best time to review delivery paperwork is before the driver leaves. Confirm the signature, exception notes, page count and image quality while corrections may still be possible.
Keep multiple pages together
A delivery packet may include a signed BOL, customer receipt, lumper receipt and supporting page. Combining the document pages into one PDF reduces the chance that the office forwards an incomplete set.
Separate evidence from conversation
A driver may discuss the delivery in chat, but the final POD should also live in the document record. A message thread is useful context; it should not be the only storage location for a billing document.
Build an exception process
If freight is damaged, short or refused, require the driver to document what was written on the paperwork, take supporting photos and contact dispatch before leaving when appropriate. Record the person contacted and instructions received.
