BOL & POD document management

Turn trucking paperwork into an organized part of the load workflow.

RoadReady receives supported documents by email or phone, keeps the original file, links paperwork to the correct route and driver, and carries POD forward into delivery closeout.

Phone, tablet & desktopOne browser-based workspace for office and road.
Provider-first live dataSupported telematics/ELD data stays the source when connected.

Email and mobile capture

Receive supported paperwork through Automatic Load Inbox or upload files and document photos directly from the road.

Route-linked organization

Keep BOL, POD, receipts, border documents and other files connected to the correct driver and load.

Delivery-to-cash handoff

Use the linked POD as part of route closeout and configured invoice / QuickBooks workflows.

Paperwork without the camera-roll mess

Capture the source once, then keep it with the load.

RoadReady treats trucking paperwork as part of the operating workflow rather than a separate file cabinet. The original emailed attachment or uploaded document stays associated with the company record while structured fields are used for dispatch and review.

  • Rate Confirmation, BOL and POD email intake.
  • Phone photo → ordered multi-page PDF for operational documents.
  • Document type and driver / route association.
  • Original attachment retention for inbound load paperwork.
  • Searchable document history and downloadable files.
  • POD presence visible on the route closeout workflow.
✓ Automatic Load InboxSupported email attachments arrive without a broker needing a RoadReady login.
✓ Document AI + reviewExtract useful fields, confidence and stops without treating AI as final authority.
✓ Driver foldersFind route documents by driver and document type.
✓ Secure customer workflowKeep internal paperwork separate from what a customer tracking link is allowed to show.
Document workflow

From source document to closed load.

01

Receive

Email the source document to the unique company Load Inbox or upload it manually.

02

Read & review

RoadReady extracts supported operational fields and sends uncertain information to human review.

03

Link

Keep the BOL, POD or supporting file with the correct route and driver rather than in a generic folder.

04

Close out

A linked POD can support delivery confirmation, customer records and configured invoice handoff.

BOL vs POD

Keep the documents distinct even when they live in one system.

DocumentTypical operational roleRoadReady workflow
Rate ConfirmationCommercial load instructions and rate contextLoad intake / dispatch review
BOLShipment / freight document used through pickup and transportRoute-linked document
PODEvidence that delivery paperwork was completedMatch to existing route; support closeout
Receipt / scale / borderSupporting operating recordCategorized by driver / route as applicable

RoadReady does not treat every attachment as a new load. POD matching and low-confidence document extraction go to review when the system cannot safely determine the relationship.

Why it matters

Paperwork speed affects dispatch, customer service and invoicing.

Fewer lost filesDocuments stay with the route instead of disappearing into personal camera rolls.
Faster reviewThe office sees structured fields and the original source together.
Cleaner closeoutPOD status is visible on the trip record.
Better handoffConfigured invoicing can use the same delivered-route record.

Frequently asked questions

Questions trucking teams ask before switching software.

Can drivers upload BOL and POD from a phone?

Yes. Drivers can upload BOL, signed POD, receipts and other route documents from a phone. Supported document photos can be combined into an ordered PDF for office review.

Can RoadReady receive documents by email?

Yes. A company can use its Automatic Load Inbox for supported emailed Rate Confirmations, BOLs and PODs. The system stores the source attachment and processes operational fields for review or route matching.

Does a POD automatically create a new route?

No. A POD should be matched to an existing route. If RoadReady cannot safely match it, the item goes to review instead of creating a duplicate or incorrect load.

Can RoadReady use AI to read trucking documents?

Yes. Layout-aware document intelligence can extract supported operational fields, but uncertain information must be reviewed. RoadReady is designed to surface uncertainty rather than silently guess.

What happens after a POD is uploaded?

When the POD is linked to the delivered route, it can become part of the delivery-to-cash workflow and, when configured, support invoice creation and QuickBooks attachment synchronization.

Are chat photos treated the same as BOL/POD documents?

No. Chat media stays communication media. Documents that must be retained as load paperwork should be uploaded through the document or route workflow so they remain categorized and linked.
